Summary: Orders and shipments older than one year move to an archive and will not load or show up in reports. To ship a backorder now, re-enter it. To look up archived details, email support.

Problem

You try to load an order (for example a backorder being filled long after the first shipment) and Shipstore finds nothing. You may see:

no order number found

The same limit applies to reports: a report for a date range more than one year ago returns no rows.

Cause

Shipstore archives orders after one year. Shipments older than 12 months move out of the live system into an archive so the system stays fast. Archived orders do not show in order loading, the screen, or reports, and they cannot be loaded back in. There is no setting to keep a backorder from being archived.

How to check: find the original shipment date. If it is more than one year ago, the order has been archived.

Fix

  1. Confirm the original shipment date. If it is more than one year old, the order is archived and will not load or appear in a report.
  2. To ship the backorder now, re-enter the shipment in Shipstore and process it.
  3. To pull historical reports, run them inside the one-year window. Data older than that has been archived.
  4. If you need specific details from an archived order, or need data kept longer than one year, email support@shipstore.com and include your company name and the order details. Looking up archived data takes extra time.

What you should see

The re-entered shipment rates and processes normally, and support can confirm whether the original order exists in the archive.
